O365 to M365 SPO permission saga continues!

Back to WordPress after a hectic couple of months for some creative outlet, landed in the POSTS section, and noticed the ‘Drafts’ tab with (18) pending blogs that never went live. Towards the bottom of the list of the still-delivered articles, was the above, with the title, ‘SharePoint List Permissions – approver!’ created on December 9, 2015.

Just a couple days prior, I had worked on SharePoint access reviews! So, the topic & its age, both piquing my curiosities, I opened the blog, assured that it would be, but a blank post, but nope. Not this. It was written, reviewed and ready to post! A solution for permission issue, which could still be valid today!

Amazing how far and fast we have progressed in the past ~12 years, From its days of Microsoft Office nervously ‘meeting’ ‘The Cloud’ in 2011 to Microsoft 365 powered by AI in 2024… Can’t help but wonder how work/collaboration/creation would look for us in 2035!

Hmmm….why do I feel like this below post from 2015 on SharePoint Lists Permission may still be relevant?! pondering….

Requirement: Need to setup the list item so that

a) Only initiators can read/edit their item
b) Approver group should be able to read/edit their item.

Below is great for the contributor to the list and it is set in List Settings > Advanced Settingscustompermsision1

But how do we enable a SharePoint Group “List Item Approvers” Group to View All and Edit All items?

SOLUTION:
I tried a couple of things and found one to accomplish the task at hand.
1) Tried to use the Office 365 update item permission action seen in picture below with the help from http://help.nintex.com/en-US/O365/Default.htm#cshid=NL927A6553557448718437CFDA3BF2F8DC

Above did NOT seem to the have the required updated permission of the item.
2)  This option DID.
Setup the permission of the SharePoint list as seen in the below image:
Stopped inheritance, removed groups that weren’t required access to the list (site has other groups with different access levels)

  • Approvers SP Group with Approve permission.
  • Members, who have to add item to the list but not see others with Edit permission. But, setting the Read/Edit to only the authors of the item.

**Approvers can now see all the items in the list immaterial of their status of approval, and initiators only their items.

Will update on actions as and when I discover them.

I always believe that here are many ways to solve a problem.
